Setting up Providers and other Employees

Before using Practice by Numbers (PBN), it's crucial to set up all employees to generate data for providers and create user accounts for staff. PBN tries to automatically identify and categorize employees as Active or Providers (e.g., doctors or hygienists), but this process may not always be accurate. Ensure you verify these selections before saving.


Steps to Set Up Employees

  1. Accessing Employee Settings

    • Click on the menu in the upper-right corner of the page.
    • Select "Settings."
    • Click on "Employees."
    • Note for Eaglesoft and Open Dental users: You will see a "Positions" page. Ensure positions, position types, and providers are marked correctly, then click "Next."
  2. Marking Employee Status

    • Active: Select the Active checkbox for employees currently working in your practice. Only active employees are available as provider filters on dashboards and can have a PBN user account created. If a new provider joins, mark them as active to generate data.
      • Note: You cannot delete employees in PBN, but you can uncheck the Active checkbox if they leave your practice.
    • Provider: Select this checkbox for doctors or hygienists. This designation allows PBN to generate and display their data in the dashboards.
    • FTE (Full-Time Equivalent): Select this checkbox if an employee works full-time. This is used to create "Production / FTE" and "Collection / FTE" KPIs. If these KPIs are not needed, you can leave them blank.
  3. Mapping Employees

    • Ensure each employee in PBN is correctly mapped to their corresponding profiles in your Practice Management System and QuickBooks.
    • If an employee has multiple profiles in your practice management system, combine these profiles into a single employee in the PBN settings.


By following these steps, you'll ensure that your PBN software is correctly set up to track and generate accurate data for your practice's providers and staff.
