Creating New User Accounts

How to create a new user account to log into Practice by Numbers.


A user account allows access to Practice by Numbers software. Ensure you have the necessary rights to manage user logins and access privileges. Typically, the owner and office administrator roles have these privileges.


Steps to Create a New User Account:


1. For In-Practice Employees:

  • Navigate to User Accounts: Click on the menu at the upper-right corner of the page, go to Settings, and then click on User Accounts.

  • Find Employee: Look for the employee’s name in the User Accounts section.

  • Activate Account: Check the active checkbox, enter the employee's email, select a role, and click on save.

  • Email Link: PBN will send a setup link to the employee’s email so they can set up their password.

  • Provide Practice Code Word: Give the employee the practice code word from your User Accounts page. For security, do not send this code by email; communicate it in person, by phone, or by text.

  • Password Setup: The employee will receive a password reset email. They should click the link and use the practice code word to create a new password for their account.

2. For Out-of-Practice/Non-Employees:

  • Add Employee: Click on the menu at the upper-right corner of the page, go to Settings, click on Employees, and then Add Employee. Enter the non-employee's name and check the Active checkbox.
  • Create User Account: The non-employee’s name will now appear in the User Accounts section. To create their user account, follow the same steps as for in-practice employees.
