Collect Credit Card Information - Setup Guide

To reduce no-show rates, you can collect billing information when patients schedule their appointments using our Online Appointment Booking system. This feature is optional and should be used if you experience a significant no-show rate. 


Please note that requesting credit card information may decrease the number of completed bookings. This feature can be applied to new or returning patients and specific appointment types.


Prerequisites:


1. Connected to PbN Payments or StripeEnsure you have connected to either PbN Payments or have a Stripe account linked to your Practice by Numbers (PbN) account.

2. Payment Sync Settings: Ensure your Payment Sync Settings are configured.

Setup Steps:


1. Access Appointment Settings:

  • Go to the PbN website.
  • Navigate to the Appointments page at the top.
  • Select Settings on the left side.


2. Enable Credit Card Collection:

  • Find the Collect Credit Card option and click on it. (This option will be greyed out if the prerequisite settings are not configured.)


3. Configure Credit Card Collection Settings:

  • A new window will appear where you can adjust the settings:
    • Patient Type: Choose whether to prompt all patients, only new patients, or only existing patients.
    • Visit Types: Select which appointment types require billing information.
    • Custom Message: Write a message explaining why you are collecting their information, such as a cancellation policy.


4. Activate the Feature:

  • Toggle the switch at the top right to activate the feature.
  • Click Save at the bottom.


By following these steps, you will be able to collect credit card information from patients during the online appointment booking process, helping to reduce no-show rates.
