How to Start a Custom Campaign from Scratch

Creating a custom campaign in Practice by Numbers (PbN) involves several steps to ensure your message reaches the desired audience effectively. Here's a step-by-step guide:


Step 1: Compose Your Message

  1. Select Method of Communication:

    • Email Only
    • Text Only
    • Text Preferred
    • Email and Text
  2. Edit and Preview:

    • Customize your email and/or text templates by clicking the "Edit" button.
    • Use the "Preview" button to see how your message will look.
    • Optionally, send a test message using the "Test" button. In the test message you will choose a random patient name for testing purposes. This message will not go to that patient. 


Step 2: Pick Your Audience

  1. Edit Criteria:

    • Click on "Edit Criteria" to define the audience for your campaign. By default, the campaign will target all active patients.
    • Use filters to refine your audience, such as last contact date, service codes, benefit dollars, etc.
  2. Audience Filters:

    • Set specific criteria to narrow down your audience. This might include selecting dates, service codes, or other relevant information.


Step 3: Fine-Tune Your Audience

  1. Review Selected Audience:

    • The system will display the number of patients that match your selected criteria.
    • Review this list carefully. You can deselect any additional people if necessary.
  2. Check Message Type Compliance:

    • Ensure that the selected patients can receive the type of message you're sending. If there's a "No" for the message type (email or text), those patients will not receive the message even if they appear in the list.


Step 4: Finalize

  1. Save or Schedule:
    • Once satisfied with your message and audience, you can save the campaign as a draft, send it immediately, or schedule it for later.



Following these steps will help you set up a custom campaign in PbN effectively, ensuring your message reaches the right audience at the right time.
